A Personal Assistant is responsible for providing high-level administrative, organizational, and logistical support to an executive or individual. The role involves managing schedules, coordinating travel, handling correspondence, and ensuring day-to-day activities run smoothly. The ideal candidate is highly organized, proactive, and discreet, with excellent communication and multitasking skills. mmunication, the Office Administrator plays a key role in aligning office operations with organizational objectives.

Responsibilities

  • Manage and update the executive’s calendar, schedule meetings, and send reminders to ensure preparedness.  
  • Coordinate all aspects of domestic and international travel, including bookings, itineraries, and expense reports.  
  • Handle and prioritize incoming communication, draft and format documents, and take accurate meeting minutes.  
  • Maintain organized records, contact lists, and oversee office logistics.
  • Support special projects with research, tracking, and follow-ups on deliverables.
  •  Assist with personal tasks, including appointments, errands,other personal engagements as needed.
  • Act as a key liaison with internal and external stakeholders, maintaining professional communication on behalf of the executive. 
  • Exercise discretion and confidentiality in handling sensitive information and making sound, independent decisions.  

Must Have

  • Bachelor Degree 
  • Relevant experience in administrative support or a similar role.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and calendar management tools like Google Calendar or Outlook.  
  • Strong attention to detail, ability to multitask, and excellent time-management skills.
  • Exceptional written and verbal communication skills.

Nice to have

  • Familiarity with project management or travel booking tools.
  • Problem-solving aptitude with attention to detail.
  • Ability to anticipate issues, troubleshoot challenges, and propose effective solutions.
